Reporting: Quickly get the data you need

Build custom reports to get the team data you need

Sapling provides a wide variety of standardized, downloadable reports and charts that let you dig deeper into your HR data. Each report is designed to help you be more strategic with your team member information.

Headcount Reporting:

The headcount report is designed to show you the total headcount of your employees over a year long period of time. Below is a list of information provided:

  • A graph of headcount changes over the last year
  • Date filter for you to adjust the time frame shown
  • Breakdown of headcount by department, location and employment status
  • Functionality that allows you to export this data into a CSV, or a Google Sheet

Pro tip: Team members will only be accounted for on this page if they are active team members, meaning their start date has passed and they have not left your company. Learn more about employee stages here.

Profile Field Reporting:

Use this to create a custom report that captures data fields you’re most interested in. Reports can be shared, downloaded and re-run at any time to reflect the latest information.

You can filter reports by team, locations and member status, and export your custom reports to a CSV or straight to a Google sheet.

Common use-cases include:

  • Reporting on role data, such as job titles and managers
  • Reporting on custom profile information, such as food allergies, gender and t-shirt size
  • Reporting on compensation and salary data

With a profile field report, you can report on information across the entire Sapling app, including tables and profiles.

Reports are filterable by:

  • Employee groups (departments, locations and employment status)
  • Time (for example, last quarter)
  • Managers

Time Off Reporting:

For customers who are utilizing Time Off Tracking in Sapling, the Time Off Report will show the time off balances, accruals, time used, and scheduled as well as any adjustments made for each time off type during a specified time period.

This report type is filterable by:

  • Employee groups (departments, locations and employment status)
  • Time (for example, last quarter)
  • Accrual type (unlimited time off, or accrued policies)
  • Policy type (vacation, sick time, parental leave)

Workflow Reporting:

Workflow reporting allows you to run a report on active tasks in your Sapling account. You may want to use this report to audit all of your tasks, and improve the ones that are continuously getting ignored. You can filter your workflow report by:

Due Date Range:

  1. For example, all tasks that were due last week

Task Status:

  1. In Progress
  2. Completed
  3. Overdue

Task Owner:

  1. All Locations
  2. All Departments
  3. All Employee Status

Document Reporting

With a document report, Sapling makes it easy for you to see what documents need to be signed, so you can easily send reminders about it.  

You can filter your document report by:


  1. In Progress
  2. Completed

By Assignee (the person responsible for completing it):

  1. All Locations
  2. All Departments
  3. All Employee Status

Change Reports

Change Reporting allows you to create reports of changes to certain fields in your Sapling account. The primary use-case of this feature is to track payroll related changes during your pay period so you can easily track what may need updating within your payroll system.

To set-up a track changes report, navigate to the Change Reports and click "Create Report" in order to track data related changes.  You’ll then be able to create a new report and be navigated through the setup, selecting what fields Sapling should track changes in.
